The following describes the Privacy Policy for Kaplan Paving LLC Fleet Management Application.
This Privacy Policy describes how information is collected, used, stored, and protected in the Fleet Management Application (“Application”) developed for Kaplan Paving LLC (“Company”, “we”, “our”, or “us”).
This Application is an internal-use-only system and is not intended for public use.
The Application is designed exclusively for authorized personnel of Kaplan Paving LLC, including:
Access to the Application is controlled by the organization. No individual can create an account independently, and the Application is not available to external users.
This Privacy Policy applies to the Kaplan Paving LLC Fleet Management platform, which includes both mobile and web-based components.
Certain administrative features may be available only on the web application and not within the mobile application.
User IDs and passwords are created and issued by us. Self-registration is not permitted. Credentials are used strictly for authentication and role-based authorization.
The Application collects only the data necessary for internal fleet operations, security, and analytics.
IP address and device type are collected solely for security monitoring, audit logging, and activity tracking purposes.
For audit and security purposes, the system may also record high-level device and platform information (such as mobile or desktop usage, operating system, and browser type) when actions are performed.
Free-text fields entered by users may occasionally contain operational names or references. Such data is treated as internal operational information and is not used for profiling or monitoring individuals.
Photos uploaded by operators or technicians related to:
Image access permissions are requested only when required for operational purposes.
Certain file uploads, user management, and export features are available only through the web application and are not accessible via the mobile application.
Collected data is used strictly for:
Operational dashboards and analytics displayed in the mobile application are asset-focused and are not intended for employee surveillance or behavioral profiling.
The Application does not use data for advertising, marketing, or external profiling.
Access to data and features is restricted based on assigned user roles:
Administrator
Operator
Technician
Role permissions and access levels may be modified at any time based on internal organizational decisions.
Data is not shared with third parties. Data remains strictly internal to us. No information is sold, rented, or distributed externally.
We apply reasonable technical and administrative safeguards, including:
Audit logs and activity records may be retained to maintain system integrity, trace operational changes, and support compliance requirements.
While we take strong measures to protect information, no system can guarantee absolute security.
Data is retained based on operational, legal, and internal reporting requirements. Data retention, archival, or deletion is managed by administrators according to company policy.
Archived or deleted records may remain in audit logs where required for compliance and internal review purposes.
